THREE CONNECTED SERVICES

Manage records from storage to their next stage.

Use one service or combine them into an ongoing arrangement. We agree the scope, responsibilities and charges before work begins.

01 / STORE

Document & archive storage

Free up office space with managed storage for boxed business records. Agree indexing, authorised retrieval requests, collection and delivery around the way your organisation uses its archive.

Suitable for ongoing archive holdings, office moves and records that need to remain available without occupying working space.

02 / DIGITISE

In-house document scanning

Convert paper files into digital documents with scanning completed in-house. We agree preparation, document grouping, indexing and the output format before processing.

Discuss searchable PDFs, file naming and quality checks, whether you have a defined batch or a larger archive project.

03 / DESTROY

Secure document destruction

Arrange confidential shredding for records you have approved for disposal. We confirm the collection scope and authorisation before destruction takes place.

A destruction certificate is provided on completion for your records. Discuss one-off clearances or recurring requirements.

DOCUMENT STORAGE THAT WORKS FOR YOUR TEAM

Keep your archive organised and accessible.

Start with the records you hold and how your team needs to use them. We agree the level of indexing, authorised contacts and retrieval arrangements so requests can be handled consistently.

As part of account setup, we agree the specialist records management software and configuration needed to support your inventory, item references and movement records.

Discuss your archive requirements ↗
  1. Identify & record

Agree box or file references, existing inventory information and any additional indexing needed before the archive is transferred.

  2. Store & retrieve

Set up authorised request contacts and agree how records are retrieved, delivered and returned, including service times and charges.

  3. Review & act

Use your organisation’s instructions to identify records for continued storage, scanning or authorised destruction.

IN-HOUSE DOCUMENT SCANNING

Make paper records easier to find and use.

Agree how files should be grouped, named and indexed so the finished documents fit your working process.

Preparation · Scanning · Indexing · Quality checks

A DEFINED SCANNING PROJECT

Start with the output you need.

Tell us what you are scanning and how the digital files will be used. We can scope a sample batch before agreeing a larger programme.

  • Document preparation and file grouping
  • Agreed naming conventions and index fields
  • Searchable PDF output where suitable
  • Quality checks and an agreed file-transfer method
  • Return, continued storage or authorised destruction of originals

Searchable text quality depends on the condition and format of the source documents. We agree the required checks and output with you before processing.

CONFIDENTIAL SHREDDING

A clear decision. A recorded outcome.

Secure destruction begins with knowing which records you have approved for disposal.

Confirm what can be destroyed

You identify and authorise the records for destruction in line with your organisation’s retention instructions. We agree how that authorisation is recorded before proceeding.

Arrange the collection

Confirm the quantity, location and collection requirements, whether the documents are at your premises or already held in storage.

Receive your certificate

A destruction certificate is supplied after the agreed shredding has been completed, giving you a record to retain alongside your authorisation.

MOVING FROM ANOTHER PROVIDER

A considered transition for your archive.

If you are reviewing your current supplier, we can prepare a proposal for transferring and managing your records. The starting point is a clear picture of your existing holdings, service requirements and timing.

Share a redacted service summary or invoice if useful. We can compare the scope of storage, retrieval, handling and transport so you can assess the overall arrangement.

What helps us prepare a proposal?

  • Box and file counts, with box sizes where available
  • Existing inventory format and reference structure
  • Retrieval frequency, delivery locations and required service times
  • Scanning and destruction requirements
  • Contract timing and any known supplier exit charges
  • Security, reporting and account setup requirements

We agree the transfer sequence, inventory reconciliation and arrangements for access during the move before collection begins.

BEFORE WE PREPARE YOUR PROPOSAL

Your records management questions.

For furniture, stock or equipment alongside your archive, explore our business storage solutions.

Can you take over an existing archive?

Yes, we can discuss a managed transfer. Send your approximate holdings, inventory format, retrieval needs and preferred timing so we can assess the work and prepare a transition proposal.

How do we request a box or file?

We agree authorised contacts, request methods, references and service times when setting up the account. Tell us how quickly and how often you need records so retrieval and delivery arrangements can be included in the proposal.

Is document scanning completed in-house?

Yes. We agree the preparation, indexing, digital output and quality checks with you before the project starts. A sample can help establish the approach for a larger batch.

Will scanned documents be searchable?

We can discuss optical character recognition, or OCR, to create searchable PDFs from suitable documents. Results depend on the originals, including print quality and handwriting, so we agree the appropriate output and checks.

Do you provide destruction certificates?

Yes. A destruction certificate is provided once the authorised secure shredding has been completed. Original documents are not automatically destroyed after scanning; their next step is agreed with you.

What information should we send initially?

Approximate quantities, box sizes, service requirements and timings are enough to begin. Please do not send confidential client files or personal records through the general enquiry form; we will agree a suitable method if a sample is needed.
